WEEKS BEFORE YOUR PARTY
Call to confirm site.
Call to confirm equipment.
If an outdoor event think about the
weather
Do I need sidewalls for my
tent/lights/heat/fans etc.?
Call to confirm catering.
Firm up menus and details.
Make a list of everything that still
needs to be done before the party.
Finalize the headcount, be flexible!
Always order for a few extra (you never
know who might show up!).
You don’t want to be cut short.
ONE
WEEK BEFORE THE PARTY
Give Caterer final or the minimum head
count (check you contract for details).
Plan for landscaping (if you are
renting tents & equipment) this should be done at least the day
before
Your equipment delivery. (don’t
attempt to cut your grass the day before the event)
Make a polite call to those you have
not heard from
the
day before the party
Make arrangements for beverage delivery
and ice (this way you're not trying to cool soda, beer and wine the day
of your event).
It generally takes 24 hours of
refridgerations to properly chill bottled/canned beverages.
Check for ample amounts of film and
batteries.
The
day of the Party
Prepare last minute foods and
beverages.
Put up all outdoor decorations, blow up
balloons, etc...
Start the music, set the mood.
Allow yourself plenty of time to get
ready for the party.
Place disposable cameras around to
capture memories.
Enjoy the party.
